Intake Coordinator

The Intake Coordinator (IC) is a part-time exempt position, directly supervised by the Director of Programs, responsible for the coordination and completion of all intakes for residents entering the shelter, along with shelter monitor coverage. This position will work between the hours of 12pm to 8pm M-F for no more than 30 hours per week.

Summary of Position:

The Intake Coordinator provides the vital task of gathering information from families and individuals entering the shelter. The position is also responsible for orienting new residents and reporting pertinent information to staff. Along with reporting to the Director of Programs, this position works in conjunction with all other departments within the shelter, and other appropriate social service agencies within the City of Alexandria.


  • Schedule and complete family and individual intakes for Carpenter’s Shelter with the Continuum of Care’s (CoC) Homeless Services Assessment Center (HSAC) staff at the Office of Community Services (OCS), Department of Community and Human Services (DCHS), ensuring the most efficient utilization of bed-space.
  • Execute intakes and the placement of all persons entering the shelter utilizing appropriate motivational interviewing techniques so that a comprehensive and accurate intake assessment is completed. This includes accurate completion of all paperwork, new file compilation, database input, medication review, and providing resident education regarding the policies and procedures of the shelter’s Rapid Re-housing program along with bed-space and room arrangement to maximize bed-space utilization.
  • Facilitate a smooth transition from the intake assessment to Housing Stabilization Case Manager for all residents.
  • Accurate Homeless Management Information System (HMIS) data input allowing for quality data-driven outcome measurement and evaluation.  Assist the Director of Programming in assessing data input quality in HMIS and other data compilation and evaluation tools.
  • Monitoring the activities of the shelter, and assisting residents with their needs, supporting other departments as necessary.
  • Other duties as assigned.


This position requires the following:

  • An Associate Degree or Two (2) years of experience executing intake assessments and monitor duties as they relate to complete oversight of the shelter.   
  • Proficient knowledge of Homeless Management Information System (HMIS) and other database software(s) programs;
  • Experience working within a shelter structure;
  • Effective verbal and written communication skills and effective time management skills in a fast-paced environment; and
  • The ability to successfully pass a background check and possess a valid driver’s license with a good driving record.

Volunteer Coordinator

Position Summary:

Carpenter’s Shelter seeks a dynamic, innovative, experienced Volunteer Coordinator to play a key role in our Development Office.  This position requires a thoughtful, compassionate, detail oriented, well-organized individual with strong interpersonal, writing and communication skills.  We are seeking a self-starter, who takes initiative, can multi-task, manage time wisely, think creatively and be a team player.

About the Organization:

Founded in 1988, Carpenter’s Shelter is a highly recognized private 501 (c) 3 nonprofit organization located in Alexandria, VA near Old Town.  Carpenter’s Shelter supports more than 600 homeless and formerly homeless men, women and families with children each year.


Under the supervision of the Director of Development, the Volunteer Coordinator is responsible for the daily management and coordination of the shelter’s volunteer programs, activities and more than 1,200 volunteers.                                                                                                       

Specific Roles and Responsibilities:

  • Serves as the lead contact and manager for all volunteers and provides direction, coordination, and consultation for all volunteer functions within the shelter.
  • Responsible for recruiting, screening, retaining, training and managing volunteers. Maintains an on-going relationship with volunteers, including feedback and recognition.
  • Assist Development Office with fundraising and special events.
  • Maintains the volunteer database.
  • Manages monthly calendars for kitchen volunteers (meals), front desk, David’s Place, Winter Shelter and children’s programs.
  • Ensure volunteer pool has timely, accurate information regarding shelter needs, developments and opportunities through various mediums.
  • Public access video monitor;
  • Monthly Volunteer Vine Enewsletter; and
  • Social media outreach.
  • Maintain accurate records and provide timely statistical and activity reports on volunteer participation (Volunteer Dashboard).
  • Evaluate all aspects of volunteer programs to ensure effectiveness and to recommend/implement changes as appropriate.
  • Coordinates and accepts donations.
  • Manages records and organizes all in-kind contributions.
  • Organizes back-to-school drive for all children in the Shelter.
  • Organizes all holiday volunteer assignments, special events and donations.
  • Organizes and conducts shelter tours and orientations.
  • Coordinates and executes service/impact days.  
  • Represent Carpenter’s Shelter at various public forums, information sessions, community engagements and other occasions.
  • Provides outreach to local schools and colleges, faith-based communities, and other groups and organizations. Develops and maintains cooperative working relations with the community.  
  • Other duties and special projects as assigned by the Director of Development.

Qualifications and Job Requirements:

  • Bachelor’s degree and a minimum of two years solid experience in volunteer engagement/management in a mid-sized nonprofit volunteer program.
  • Commanding knowledge and experience in Volgistics, Omatic and Luminate. Excellent working knowledge of software applications including Word, Excel and PowerPoint and Raiser’s Edge.
  • Candidate must have exceptional oral, written communication and presentation skills.
  • Being exceptionally well-organized, detail-oriented, proactive and goal driven is a must!
  • An interest in homelessness.
  • A sense of humor, outgoing disposition and a positive attitude.
  • Ability to work evenings and weekends as required.
  • Ability to pass a background check.

Salary: Commensurate with level of education and experience (mid $40’s).

Shelter Monitor

This is a professional part-time non-exempt position requiring knowledge and experience in monitoring in an Emergency Shelter and Day Shelter program. With the ability to deliver human services and work effectively with persons at various stages of our Continuum.

Responsibilities: Under the supervision of the Head Monitor, the Shelter Monitor provides complete shelter oversight during their shift which almost exclusively includes weekends, evening and holiday hours. Responsibilities include carrying out all necessary operations while on duty, ensuring a safe and secure environment in a respectful and dignified manner while supervising and assisting clients and volunteers. 

Specific Duties:
• Complete responsibility of the shelter;
Monitor the building safety and structure and immediately communicating needs to on-call staff;
Monitor resident’s activities/compliance in the shelter, administering incident reports or taking necessary action to ensure the safety of all clients, volunteers, etc.
• Work closely with volunteers, community partners and other deparment (David’s Place, Winter Shelter, Admin, etc.) staff to ensure a continuation of services in the shelter;
• Consistent presence throughout the shelter, ensuring that you are aware of activity going on in all areas; maintaining safety for all staff and clients;
• Convey necessary activity/information via “yammer”, phone calls, message, emails, etc. to staff so that all are aware of activity occuring during monitor shifts;
• Ensure that necessary information is communicated to your supervisor so that proper action may occur and there is, at all times, a continuation of program services;
• Accurate completion of all necessary data collection and paperwork specific to each shift;
• Professional demeanor at all times. This includes modeling the behavior that we expect of our clients, acting in a positive manner when addressing our clients and ensuring that you receive the same in return;
• Report on time and work entire shift, monitor must always be relieved by next shift staff; completing the required turnover;
• Time sheet completion required at the end of last shift worked each pay period;
• Perform other duties as assigned and necessary for shelter operations; and 
• Adhere to the Carpenter’s Shelter Code of Ethics.

Qualifications: This position requires a high school diploma (or equivalent) and a minimum of 3 years experience working with a diverse population experiencing homelessness along with energy, enthusiasm, professionalism, an ability to multi-task and possess great communication skills.
