The Rapid Re-housing grants administrative assistant is a full-time exempt position directly supervised by the Director of Programs, responsible for the administration of several rapid re-housing grants.
Summary of Position:
This position works in conjunction with Case Managers and Housing Locators within the shelter, and other social service agencies within the City of Alexandria, to effectively house persons experiencing homelessness. In accordance with Carpenter’s Shelter Core Values – S.E.E.D. (Solutions through Collaboration, Empowerment, Education and Dedication to serving with Respect) and our Mission (supporting our homeless population to achieve sustainable independence through shelter, guidance, education and advocacy).
Some of the essential responsibilities of the Rapid Re-housing Grant administrative assistant include, but are not limited to:
o Contacting clients and scheduling rapid re-housing intake appointments
o Completing the initial assessment for client’s enrollment in rapid- rehousing grants
o Ensuring all application paperwork is completed and signed appropriately
o Explaining the grant requirements to clients and collecting appropriate paperwork
o Creating, reviewing, and monitoring grant files for completion and correctness
o Managing the grant requirements to include client surveys, tracking grievances,
o Monitoring the data collection software to ensure a data-driven environment;
o Maintaining accurate information for internal data tools;
o Audit files to ensure compliance of our needs and those of our funders. Additionally, ensure that all files are being maintained to ensure confidentiality and professional ethics;
o Reconciling payments with the Housing Locators and Accounting Department
o Other duties as assigned or needed for the accomplishment of the Carpenters Shelter mission.

This position requires the following:
o A bachelor’s Degree in Nonprofit management, business, social work or related field (or 2+ years of college towards degree);
o Proficient use of computers to include Microsoft Office, Homeless Management Information System (HMIS) and other database software(s) used to track service delivery;
o Prior work in social services preferably in the field of homelessness;
o Effective verbal and written communication skills and effective time management skills in a fast-paced environment;
o Ability to perform the various duties necessary to lead a successful housing focused program for
families and individuals experiencing homelessness; and
o The ability to successfully pass a background check and possess a valid driver’s license with a good
Salary range is the low 40K, with benefits.
